Privacy Policy

Introduction

At Equinoxx Aviation Services, we are committed to protecting your privacy. As an FAA-certified Part 145 Maintenance, Repair, and Overhaul (MRO) repair station headquartered in Lawrenceville, Georgia, with operations in Florida, we provide essential aircraft maintenance, repair, inspection, and overhaul services to private, commercial, and government aviation clients. Our services help keep aircraft safe and airworthy, and we handle information responsibly to support that mission.

This Privacy Policy explains how we collect, use, share, and protect your personal information. It applies to all individuals who interact with us, including customers, employees, vendors, and website visitors. We prioritize transparency and compliance with applicable laws, including federal aviation regulations, data privacy statutes, and best practices.

This policy is effective as of October 8, 2025. By using our services or website, you consent to the practices described here. If you have questions, please contact us at privacy@equinoxxaviation.com.

Information We Collect

We collect information to deliver our services efficiently and comply with regulatory requirements. We only gather what is necessary and handle it with care. Here's what we may collect:

  • Personal Identifiers: Your name, email address, phone number, mailing address, and payment details (e.g., credit card info for invoicing). These help us communicate and process transactions.

  • Aviation-Specific Data: Pilot certifications, aircraft registration numbers, maintenance logs, and flight history. This sensitive information is crucial for FAA compliance and service delivery.

  • Business Information: Company name, job title, and billing details for corporate clients or vendors.

  • Website Usage Data: IP addresses, browser type, pages visited, and timestamps. This non-personal data helps us improve our site.

  • Employment Data: For employees, we collect resumes, references, payroll info, and performance records to manage our workforce.

Assumption: Aviation-specific data like pilot certifications is collected; confirm exact types during client review.

We collect this information through:

  • Online forms and service request submissions on our website (equinoxxaviation.com).

  • Direct interactions, such as phone calls, emails, or in-person service intakes at our facilities.

  • Cookies and similar technologies on our website (see Cookies and Tracking section).

  • Third-party sources, like FAA databases for verification, only when necessary and with your consent where required.

How We Use Your Information

Your information fuels our operations but is never used beyond what's needed. We use it to:

  • Fulfill services: Schedule maintenance, perform inspections, and deliver repairs on your aircraft.

  • Ensure compliance: Maintain records for FAA audits under 14 CFR Part 145 and report as required.

  • Communicate: Send service updates, invoices, or safety alerts via email or phone.

  • Improve operations: Analyze usage patterns anonymously to enhance our website and processes.

  • Manage employment: Process payroll, benefits, and training for our team.

  • Handle emergencies: Provide 24/7 Aircraft on Ground (AOG) support efficiently.

We do not use your information for unrelated marketing or advertising. If we send promotional emails about our services, you'll have an easy opt-out option.

Sharing and Disclosure

We do not sell, rent, or trade your personal information to third parties for their marketing or other purposes. Sharing is strictly limited to what's essential for our business and legal obligations. Examples include:

  • Service Providers: Sharing with contracted partners (e.g., parts suppliers or shipping companies) under strict non-disclosure agreements (NDAs) to complete your service.

  • Regulatory Bodies: Disclosing to the FAA or other authorities for compliance, such as maintenance record submissions.

  • Affiliates: With Equinoxx Capital for joint operations, like hangar leasing tied to maintenance, always with safeguards.

  • Legal Requirements: In response to court orders, subpoenas, or to protect rights, safety, or property.

  • Business Transfers: If we merge or sell assets, your information may transfer to the new owner, with notice provided.

All shared parties must protect your data to our standards. For international clients, we ensure GDPR-compliant transfers if applicable.

Data Security and Retention

Protecting your information is a top priority. We use industry-standard measures to safeguard it:

  • Encryption for data in transit (e.g., HTTPS on our website) and at rest (e.g., secure servers).

  • Access controls, including multi-factor authentication and role-based permissions, to limit who can view sensitive records.

  • Regular security audits, employee training, and firewalls to prevent breaches.

  • Incident response plans compliant with Georgia's data breach notification laws, notifying affected individuals promptly if required.

We retain information only as long as needed:

  • FAA-mandated records (e.g., maintenance logs) for at least 2 years under 14 CFR § 145.109, or longer if required by law.

  • Customer service data for 7 years for tax and dispute purposes.

  • Website analytics indefinitely in aggregated, anonymized form.

  • Employee records per HR policies and legal minimums.

Once no longer needed, we securely delete or anonymize data.

Your Privacy Rights

You have control over your information. Depending on your location, you may exercise these rights:

  • Access: Request a copy of your personal data we hold.

  • Correction: Ask us to update inaccurate information.

  • Deletion: Request removal of your data, subject to legal retention requirements (e.g., FAA records).

  • Opt-Out: Object to sharing for non-essential purposes, profiling, or targeted ads (aligned with Florida's Digital Bill of Rights and CCPA best practices).

  • Portability: For EU/UK residents under GDPR, receive your data in a structured format.

  • Restriction/Objection: Limit processing or withdraw consent where applicable.

To exercise these rights, email privacy@equinoxxaviation.com or use our online contact form. We'll verify your identity and respond within 45 days (or 90 for complex requests), free of charge unless excessive. For Florida residents, we honor opt-outs of data sales (none occur) and profiling. EU/UK data subjects can also contact our Data Protection Officer at the same email.

Children's Privacy

Our services are not directed at children under 13, and we do not knowingly collect personal information from them. This complies with the Children's Online Privacy Protection Act (COPPA). If we learn we've collected such data, we'll delete it promptly. Parents or guardians with concerns should contact us at privacy@equinoxxaviation.com.

Cookies and Tracking

We use cookies—small files stored on your device—to enhance your website experience. Our policy is simple and privacy-focused:

  • Essential Cookies: These enable core functions like form submissions and session management. You can't opt out, as they're necessary for the site to work.

  • Analytics Cookies: We may use first-party tools to understand site usage anonymously (e.g., page views). No third-party trackers for advertising.

We don't use cookies for targeted ads or share data with ad networks. To manage cookies, adjust your browser settings or clear your cache. Note: Disabling cookies may limit site functionality. For more details, see our Cookie Policy.

Changes to This Policy

We may update this policy to reflect legal changes, business needs, or improvements. Significant updates will be posted on our website with the new effective date and emailed to registered users. Minor changes take effect immediately upon posting. Check back periodically, and your continued use of our services signifies acceptance.
